Don't Let Your Office Move Become an IT Crisis

Relocating your office is a major milestone, but treating your IT infrastructure like just another box of supplies is a recipe for a Monday morning meltdown. The difference between a seamless transition and a week of lost productivity often comes down to early planning. If your company is eyeing a new space in the next six-to-12 months, avoid leaving your technology to chance.

Audit Connectivity Well in Advance

A common and costly assumption is that a modern building comes with instant internet. In reality, getting fiber optic lines installed or securing high-speed circuits often involves a maze of permits, construction, and provider scheduling.

  • The 90-day window - Start the conversation with your internet service provider at least three months before the move.
  • Site surveys - Have a technician verify internal cabling and equipment requirements early.
  • The goal - Ensure the connection is active and tested before your staff arrives, rather than waiting on a technician during your first week.

Protect Physical Infrastructure

Office furniture can survive a few bumps during a move, but your IT equipment is far more fragile. Standard moving companies are excellent for chairs and desks, but they often lack the technical expertise required for delicate servers, switches, and networking hardware.

Beyond the move itself, the new environment must be ready to house this equipment. Placing a high-end server into a cramped, unventilated closet is a direct path to hardware failure. Before the move, document every serial number and cable path, and ensure your new server room has dedicated cooling. This prevents your infrastructure from being essentially dead on arrival due to poor handling or inadequate airflow.

Implement a Structured Weekend Sprint

The ultimate goal of an IT relocation is to make the move invisible to your employees. Your team should leave the old office on Friday and log in at the new one on Monday without noticing a difference. To avoid a technology crisis, treat the move as a 48-hour sprint with a specific sequence of testing.

Friday at 5:00 PM: The Teardown 

Shut down all equipment and clearly label hardware and cables for every workstation. Securely pack fragile components using specialized materials.

Saturday at 10:00 AM: The Setup 

Reconstruct your infrastructure at the new site and bring the network online. This is the time to ensure the backbone of your business is functioning.

Saturday at 2:00 PM: User Testing 

Log into a workstation from the employee perspective. Test a print job, make a test phone call, and join a video meeting from the conference room to ensure everything talks to each other.

Sunday: The Buffer 

Keep Sunday open to address any larger challenges or ghosts in the machine that appear following the move.
